Getting Started with CoLoop

Last updated: October 27, 2025

Welcome - Introduction to CoLoop

Welcome to CoLoop. This sections of the documents will take through an onboarding flow step-by-step.

Here is how we suggest you work through the documents, so you can get up to speed with CoLoop quickly.

Set Up

Start with the set up flow - this will walk you through how to create and name your projects, and how to upload video, audio, transcripts or community data. The last step is organising your participants by adding in segments to help further define analysis.

  1. Creating your first project

  2. Uploading Data & Creating Transcripts

  3. Setting Up Segments

If you're working with non-English files, you can also easily translate your files to English. Once your data is uploaded, your files show green ticks and are marked as ‘Ready’, your speakers are labelled, and segments have been added — you’re all set to start analysing.

Analysis

You can analyse your data using the Analysis Grids or the Chats:

  • Analysis Grids: Best for analysing data as a whole. Summarises data to identify key themes, generate individual participant summaries and group summaries, and provide high-level descriptive insights.

  • Chats: Best for analysing samples of the data and finding quotes. Handles more complex and granular queries, good for investigating outliers and finding specific evidence and quotes.

We suggest you follow the set-up documents in this order:

All analysis in CoLoop is cited. This allows you to click on analysis points and see the underlying evidence.

Top Tip: Use concise, specific, single intent prompts and always check the evidence.

Other Features

CoLoop has a number of additional features that work to elevate your research and analysis.

  • CoLoop Recorder - Invite CoLoop to your Teams, Zoom or Google Meets calls and have them recorded, and then automatically uploaded into your project.

  • Clips - Cut clips of audio or video segments, for example key quotes. Great for elevating deliverables.

Other Study Types

CoLoop is great for a number of studies. As well as more traditional focus group and interview projects, CoLoop is great for multi-market studies and also for concept testing.

Troubleshooting

Here's some common mistakes to avoid while setting up a project in CoLoop. If you're unable to find a solution for an error not listed here, please contact support via chat!

Files won't upload

This is typically due to formatting errors. CoLoop can support up to 5GB per file. Please see our formatting guides for the following:

  • Audio & video: Please make sure your file is not corrupted. If you are finding the transcripts to be inaccurate, please ensure the audio quality is high. CoLoop has a low accuracy rate of transcribing SimTrans.

  • Transcripts: We always recommend uploading raw audio/video whenever possible as transcripts can involve extra formatting steps. CoLoop can handle DOCX. and TXT. files but all text must be clearly attributable to a speaker.

  • Excel files: You can't have a 'Moderator' role associated with an Excel file (unless it is community data uploaded from a platform like Qualzy or incling).
